Schedule, timesheets, and time tracking: employee schedule in RemOnline
In RemOnline, you can set up an employee Schedule — a tool for planning workdays and hours. It can be used to plan working hours and calculate salaries for a day or hours worked. The schedule can be set up for the past, present, or future, as this is planned time.
But life rarely goes according to plan: employees may start or finish work earlier or later than planned. To reflect the real picture, use the Timesheets — an actual schedule with worked hours, based on which payment is calculated. Therefore, the Timesheets can only be set up for the present or past, as it reflects the actual hours worked.
For even more accurate accounting, there is a Time Tracking feature that allows you to record the start and end of the working day in real time.
With this employee schedule, you can:
see how many working hours/days were planned for an employee per week or month, and how many hours the employee actually worked;
set up salary calculations for employees based on hours worked or working days;
set paid or unpaid vacation/sick leave/days off;
When and why you need it
The time tracking feature comes in handy when the actual situation differs from the planned schedule. For example:
The mechanic works on an hourly basis. The employee arrived an hour earlier than the scheduled shift and stayed an extra hour due to a complex repair. Thanks to time tracking, his salary will be calculated exactly for the hours actually worked.
The administrator controls the time. The administrator saw that the salesperson did not show up for their shift and corrected the data in the timesheets. Thus, the salary for that day will not be calculated.
Working on a day off. If an employee takes a day off, the tracking feature allows you to record this in the timesheets so that the shift can be compensated later.
However, if your team always sticks to the schedule, there is no need to change anything. You can continue to use only the Schedule, and this will be sufficient for planning and calculating salaries. However, if there are frequent deviations from the plan, it is better to use the Timesheets and Time Tracking. This will allow you not only to track actual hours, but also to compare them with planned hours to get a complete and accurate picture.

Time tracking
Go to Settings > Employees and open the desired profile on the General tab. Here you can activate time tracking by simply checking the “Enable time tracking” checkbox.
This is a simple tool that allows employees to record their actual working hours themselves. If necessary, the recorded time can be edited in the Timesheets thanks to the enabled “Can edit timesheets” permission.
How to use the time tracking feature
In the web version
After activating the feature, a work time counter will appear in the upper right corner. To start counting, click the start (“>”) button and select a location if you can work in multiple locations.
To stop counting, click pause.
In the mobile app
A work time timer will appear on the main screen of the mobile app. To start counting, click the start button (“>”) and select a location. To stop counting, click pause.
Please note: in this case, time tracking is not tied to the duration of specific services or tasks, but is used to record an employee's time spent at their workplace in a specific location.
All recorded time is automatically added to the timesheets.
If tracking was turned on several times during the day, the timesheets will show several intervals.
If the count crosses midnight, the system automatically stops it at 23:59 for the previous day and continues from 00:00 on the new day. This is done to correctly estimate the salary for the hours worked during the day.
If you work in several locations, the count at the previous location will stop as soon as you start counting at the new one.
⭐️ Important: the work schedule is available for all subscription plans. The Timesheets and Time Tracking features are available starting with the Startup plan.
Salary calculation according to the schedule
If neither Schedule nor Timesheets (including Time Tracking) is used, salary for working days or hours is not calculated.
If only Schedule is used, the Timesheets is automatically filled in based on the Schedule data after each shift is completed, and salary is calculated based on that.
If only Time Tracking is used, the Timesheets is filled in with the actual data recorded by the employee via Time Tracking.
If both Schedule and Time Tracking are used, the data from Time Tracking takes precedence. The Timesheets will be filled in based solely on this data, and it will be used to calculate the salary.
In all cases, except for the complete absence of a Schedule, Timesheets, and Time Tracking, salaries are calculated based on the Timesheets. If necessary, it can be edited — to do this, the user must have the “Can edit timesheets” permission.
