Tips for setting up a notification system for clients

A well-functioning notification system is an important part of high-quality client service. However, there are situations when customers do not receive notifications about their work orders or leads. The reasons may be related to the settings in the system.

Check the following key points:

Setting up consent to receive notifications (WhatsApp, Viber, SMS)

Automatic settings

In the Settings section of the system, there is an option "Clients consent by default to receiving notifications on their phone numbers. If this checkbox is activated, the system automatically gives consent to receive notifications via WhatsApp, Viber, and SMS for all new clients. This means that you do not need to manually set up consent for each client separately.

Manual setting

If the option "Clients consent by default to receiving notifications on their phone numbers" is disabled, you need to provide consent manually. In the profile card of each client, you can individually activate or deactivate communication channels (WhatsApp, Viber, SMS). The manager should check and activate the necessary channels for each client individually.

Confirmation of consent to receive Email

Automatic configuration

In the Settings section, there is an option "Clients consent by default to receiving notifications via email". If this option is activated, the system automatically agrees to receive email notifications for all new clients. This allows you to send emails automatically.

Manual setting

If the "Clients consent by default to receiving notifications via email" option is turned off, you need to provide consent manually. In the profile card of each client, there is a checkbox "Agree to receive Email". The manager should check and activate this checkbox for each client who wants to receive email notifications.

Avoiding duplicate clients

Sometimes notifications are not sent because there are duplicate clients with the same contact information, which can cause confusion and communication problems. To avoid this, activate the “Clients consent by default to receiving notifications on their phone numbers or email” checkbox. This will prevent duplicate profiles and ensure that the notification system works correctly.

By using the automatic parameters in the Settings section, you can greatly simplify this process for new clients. In cases where you need to customize the consent individually, manual settings in the client profile provide flexibility and allow you to make exceptions. Once these settings are made, the system will correctly send messages and email notifications in accordance with the consent provided, ensuring smooth and efficient communication with your clients.
