Notifications for employees are notifications / alerts you can use to keep your team up-to-date with important tasks and activities. Notifications for employees can be triggered at the event in Work Orders, Leads, and Tasks. The full setup is on the Settings > Notifications page.

Notifications for Employees (Work Orders)

Notifications for employees at the event in Work Orders are subdivided into two groups that may have different trigger events: For managers and For specialist.

Note: Notifications for employees on the event in Work Orders have location-based settings and are configured individually.

Step 1. Go to the Settings > Notifications > Work Orders page, select a location (if you have multiple ones), and press + Notification in a corresponding section (For managers or For specialist).

Step 2. Make a selection from a dropdown list to set the trigger event.

Available events in Work Orders you can set as notification triggers for Managers:

  • Assigned as a manager to the order. An employee from the Manager field is notified at the event of the Work Order creation (upon pressing the Create button).

  • Order status changed. A Manager gets notifications at every event of Work Order status update (all statuses).

  • Order status changed to. A Manager gets a notification at the event of a selected status update. After choosing this event, you will get a dropdown list with available Work Order statuses to select from.

  • Order comment added. A Manager is getting notifications at every comment added to the Work Order.

  • Order transferred from other location. A Manager gets a notification at the event of the Work Order transfer to a current location.

Available events in Work Orders you can set as notification triggers for Specialists:

  • Assigned as a specialist to the order. An employee from the Assigned specialist field gets a notification.

  • Order manager changed. The Assigned Specialist gets a notification with a corresponding Work Order number.

  • Order status changed. The Assigned Specialist gets notifications at every event of Work Order status update (all statuses).

  • Order status changed to. The Assigned Specialist gets a notification at the event of a selected status update. After choosing this event, you will get a dropdown list with available Work Order statuses to select from.

  • Order comment added. The Assigned Specialist gets notifications at every comment in the Work Order.

  • Order transferred from other location. The Assigned Specialist gets a notification in the event of the Work Order transfer to a current location.

Step 3. Make a selection between SMS, Email, and Telegram (works when the Employee Profile has a phone number, email address in contact details, or an active Telegram account).

Step 4. Select a notification template or create a new one. Press Create.

Notifications for Employees (Leads)

Notifications at the event in Leads have global settings that apply changes to all business locations (if you have multiple ones).

Step 1. Go to Settings > Notifications > Leads page, and press + Notification in the For managers section.

Step 2. Make a selection from a dropdown list to set the trigger event.

Available events in Leads you can set as notification triggers for Managers:

  • Lead created. An employee from the Manager field is notified at the event of the Lead creation (upon pressing the Create button).

  • Lead status changed. A Manager gets notifications at every event of a Lead status update (all statuses).

  • Lead status changed to. A Manager gets a notification at the event of a selected status update. After choosing this event, you will get a dropdown list with available Lead statuses to select from.

  • Appointed as a manager in lead. An employee from the Manager field is notified.

Step 3. Make a selection between SMS, Email, and Telegram (works when the Employee profile has a phone number, email address in contact details, or an active Telegram account).

Step 4. Select a notification template or create a new one. Press Create.

Notifications for Employees (Tasks)

Notifications for employees at the event in Tasks have global settings that apply changes to all business locations (if you have multiple ones).

Step 1. Go to Settings > Notifications > Tasks page, and press + Notification.

Step 2. Make a selection from a dropdown list to set the trigger event.

Available events in Tasks you can set as notification triggers for employees:

  • Assigned to the task. All employees from the Assignee field are notified at the event of being assigned or removed from the Task.

  • Task changed. All Assignees and the Task Creator (Author) are notified at every Task update. For Completed Tasks, updates do not trigger notifications.

  • Task completed. The Task Creator (Author) gets a notification on the Task completion.

Step 3. Make a selection between SMS, Email, and Telegram (works when the Employee profile has a phone number, email address in contact details, or an active Telegram account).

Step 4. Press Create.

How to edit or delete Notifications for Employees

Go to the Settings > Notifications page, find a corresponding notification and double-click to edit, then change what you need and press Save. To remove a notification from the system, press the delete button.

Select multiple notifications, then you can make bulk actions, remove all selected notifications at once, change the template, change sending method, or copy them to other locations.
